Zoom for Rubu

Setup, usage and removal guide

Last updated: October 24, 2026

What the integration does

Rubu is a shared calendar app for teams and organizations. With the Zoom integration you can add a Zoom meeting with the waiting room enabled to a Rubu event in one tap. The meeting is created in your own Zoom account and you are its host. The meeting link is shown only to signed-in members of that calendar; it never appears on public pages, in the calendar subscription feed (ICS) or in notifications.

Prerequisites

  • A Rubu calendar on the Pro plan (online meetings are a Pro feature).
  • Permission to edit the event you want to add a meeting to. Meetings cannot be added to public events.
  • A Zoom account (free or paid).
  • Meetings on free Zoom accounts are limited to 40 minutes; this limit is set by Zoom.

Adding the app

You can connect your Zoom account to Rubu in two ways:

  1. 1Settings > Connected accounts > Zoom > Connect.
  2. 2Or from an event: in the event details, Online meeting > Add online meeting > Zoom.
  3. 3On the Zoom page that opens, sign in to your Zoom account and tap "Allow" to authorize Rubu.
  4. 4You are returned to Rubu and Zoom now shows as "Connected". If you started from an event, the meeting is created automatically.

Usage

  • Create a meeting from the event details with Online meeting > Add online meeting > Zoom. For recurring events, a single link is created for the whole series.
  • "Join meeting" opens the meeting in the Zoom app or your browser.
  • "Copy link" copies the meeting link to your clipboard.
  • Participants wait in the waiting room until the person who added the meeting (the host) admits them.
  • "Remove" removes the meeting from the event and also deletes it from your Zoom account. Deleting the event also deletes the Zoom meeting.

Removing the app

  • From Rubu: Settings > Connected accounts > Zoom > Disconnect.
  • From Zoom: sign in to the Zoom App Marketplace, go to Manage > Added Apps, find Rubu and click Remove.

What happens? Your Zoom access and refresh tokens are deleted from Rubu servers immediately and Rubu can no longer access your account. Meeting links that were already added stay on their events until you remove them; your meetings in Zoom are not deleted. To add meetings again, simply reconnect your account.

Data and privacy

From Zoom, Rubu requests only permission to create/delete meetings plus your account email address and Zoom user ID. This information is used only to create meetings at your request, delete them when you remove them, and show which account is connected under Connected accounts. Tokens are stored encrypted (AES-256-GCM) on our servers. We do not read your recordings, chats or participant information; this data is never sold or used for advertising.

For details, see our Privacy Policy.
